Your privacy
We’ll keep this short and honest, the same way we’d talk to you in person.
What we collect
When you sign up for the newsletter or use a form, we receive what you choose to send — such as your name, email, question, or message. A benevolence request asks for more sensitive details so the pastors can understand the need; those details are explained separately below before you send the form. Separately, the site records cookie-free pageview and engagement counts so we can see which pages and links are useful. Those usage events do not include your name, email, or the full page you came from. We also estimate how many different people visit — without cookies — using the method described below.
Grocery box sign-ups
When you sign up for a grocery box, we write down your name and address — and, if you have one you’d like us to use, a middle name. We’ll also ask whether there’s a way to reach you: a phone number, an email address, or the name you go by on Facebook. Every one of those is optional. You can leave out any of them, or all three, and nobody is turned away or asked to explain why — you get your box either way. We ask because it gives us a way to let your family know if something changes, like a date, a time, or a box being held for you, and because a middle name or a phone number keeps us from mixing up two people with similar names. This list is kept privately by the church — we never share it, publish it, or use it for advertising or analytics. We keep this list for as long as we run the giveaway, so we can see how the need changes over the years and so you don’t have to start from scratch every time you come. You can ask us at any time to see what we have on file, to have it corrected, or to have your information taken out — all of it, or just a phone number, email, or Facebook name you’d rather we didn’t keep. If you ask us to take you out, we remove your name, address, and contact details from the sign-up list and keep only the counts, like how many boxes went out on a given day, which never say who they went to. Just ask us at the table, or the same way as anything else on this page.
Benevolence requests
If you ask the church for financial help, the form may include your name and contact details, address and household information, connection to the church, the kind and amount of help requested, provider or account details, employment situation, other help you have sought, your plan forward, and your typed declaration and signature. Please send only what is needed for the request. Formsubmit delivers the request to the church’s restricted mailbox. Only the pastors should read it, and they use it only to assess, respond to, and document that request. The church removes the form message and its working copies within twelve months after the request is closed. A limited payment or accounting record may need to be kept longer when assistance is given, but it should not include the full application. You can ask for correction or earlier deletion by emailing church@victoryfaith.ca, unless a limited record must be kept for a completed payment or another legal obligation.
Old Ask archive (retired)
The public Ask a Pastor form has been retired and no longer takes questions. Questions sent before it closed are kept, with the time they were sent, only until they expire — within one year — and are then deleted. Those records never stored your IP address. If you need a personal reply, use Connect on the homepage or email church@victoryfaith.ca.
A small security and counting record
To protect the site from abuse and to estimate how many different people visit, we keep two short, salted, one-way hashes derived from connection details — the IP address, and for visitor counting the browser type too. One lives in a Cloudflare rate-limit table; the other only records that someone was here on a given day. We do not store raw IP addresses, neither hash is joined to what you did on the site, and both are cleaned up automatically — rate-limit entries after about a day, visitor-day entries after about ninety days. Changing the server-side secret at any time unlinks every previously stored hash.
Why we use it
We use submitted information to do the thing you asked us to do — send the newsletter or reply to your note. We use aggregate site activity and the visitor estimate to improve the website, and the rate-limit record to protect it from abuse.
Who helps provide the service
Cloudflare hosts and protects the site and stores its cookieless metrics, the website content, and the photos. Questions sent through the retired Ask form stay in storage only until they expire, up to a year after they were sent, and are then deleted. Formsubmit delivers newsletter, contact, and benevolence messages to the church. If you sign up to serve, that form is run by Planning Center, our scheduling tool — what you enter goes to them, under their privacy terms, and this website never sees or stores it. If you choose to give, your bank or Zeffy handles the payment. YouTube and Google may receive normal connection information when you load their videos or map. We do not sell or rent your information, and we do not disclose it for unrelated advertising.
Your choices
Every newsletter email has an unsubscribe link. You can also email us to ask what we have on file or to request deletion. The site honors browser Do Not Track and Global Privacy Control signals for engagement metrics.
